Core workflow

Five steps from setup to settlement

Each stage has a clear checkpoint so the group can avoid unnecessary rework and stay aligned on the same bill state.

11. Add participants

Add everyone in the bill, identify the Owner and appoint an Assistant when needed. A bill supports up to 24 participants.

22. Add real dishes

A new bill starts without a placeholder item. Choose Add your first dish, then enter its name, price, quantity and participants.

33. Select and confirm

Each participant selects their dishes, adjusts unequal portions when needed, then reviews the amount before confirming.

44. Review the final bill

Review the subtotal, discount, service charge, VAT and final total, and confirm that everyone has reviewed their selections.

55. Collect and complete

Payers report payment after paying. The collector verifies receipt and confirms it. The bill is complete once every payment is confirmed.

Roles and responsibilities

Before dish selection

Prepare the bill correctly from the start

Initial bill details affect dish selection, shared links, settlement and notifications, so it is worth checking them before everyone starts.

Start with real information, not a placeholder

New bills start with an empty dish list so placeholder names, prices or participant assignments cannot accidentally remain in the bill.

Regular groups reduce repeated setup

For recurring groups, reuse saved participant names and adjust only the people who changed for the current meal.

Add an Assistant when needed

Larger bills can use an Assistant to help manage entries and follow confirmations. Assign this access only to someone who needs to manage the bill.

Verify the collector before sharing

Before sharing, verify the collector and payment details. If those details change later, share the latest link again.

Dishes and portions

Split according to what each person had

Add dishes

Enter the dish name, unit price, quantity and participants. MemoX uses these details together with the bill's discount, service charge and tax settings to calculate each share.

  • An unassigned dish is not split among participants
  • Correct price and quantity on the dish rather than compensating with a manual personal amount

Unequal portions

When people share the same dish unequally, adjust each person's portion weight for that dish, such as one share versus two shares. The item is divided according to the total portion weights.

  • Adjust only the dish that was shared unequally
  • After changing portions, have affected participants review their updated amount
Confirmation and final review

Separate completed selections from a bill that is ready to pay

Participant confirms selections

This means the participant has reviewed their dishes, portions and amount. If those selections are reopened and edited, the updated information should be confirmed again.

Final review

The Owner or Assistant reviews totals, dishes, discounts, service charge, VAT and participant confirmations before payment collection starts.

Lock the total and begin settlement

Once settlement begins, participants see the amount due and the collector details from the latest bill information.

If the bill needs to be edited again

Reopen the bill for editing, review how the change affects participants, then repeat final review before collecting payment. Do not rely on confirmations that were made against older bill data.

Payment

Payment reporting and receipt confirmation are separate steps

The two-step payment state keeps the payer and collector aligned on whether money was sent or actually received.

1Payment due

No payment has been reported yet

2Reported · awaiting review

The payer reported payment, but the collector has not confirmed receipt yet

3Payment confirmed

The collector verified the payment and confirmed receipt

Verify the collector before paying

Check the collector, payment destination and amount every time. If a link warns that payment information no longer matches the current bill, stop and request the latest link before paying.

Confirm receipt after verification

The Owner or Assistant should confirm receipt only after verifying the actual incoming payment so the final bill status remains a reliable record.

PWA and room access

Reopen a bill from the Join with a room code button

The entry form opens only when requested

In the PWA, a compact button opens the room-entry dialog only when needed, keeping the main bill screen uncluttered.

Enter a 12-character code or paste the full link

MemoX extracts the room code from a shared link automatically and verifies that the room is available before opening it.

iPhone and iPad

For Push notifications, add MemoX to the Home Screen, open it from that icon, then enable notification permission inside the app.

Push notifications

Choose only the updates you want

Push preferences apply to the device you are using and can be changed later without disabling the in-bill activity feed.

Summaries and records

Use PNG for quick sharing and PDF for detailed records

PNG
A summary designed for chat sharing

Useful for group chats or quick archiving, with bill status, final total, outstanding amount, confirmation and settlement progress, participants and dish context.

PDF supports longer multi-page bills

Best for larger bills. Pages are created automatically while preserving participant roles, payment states, collector context and dish details.

For privacy, sensitive payment-destination details are limited in exported summaries. Use the latest in-bill payment screen when making an actual payment.

Large groups and activity

Track participants and bill changes without losing context

Full participant list

For larger bills, use search and filters to find participants who are still pending confirmation or payment instead of relying only on the compact list.

Bill activity

The activity feed shows who changed dishes or portions, confirmed selections, changed bill stages or updated payment status, with the event time.

Troubleshooting

Check the current state before changing the bill

If an amount or status looks wrong, first check the bill stage, the most recent activity and what changed before editing the bill again.

Room code does not open

Check that the code contains 12 characters, or paste the full shared bill link into Join with a room code. If it still cannot be found, the room may have expired or no longer exist.

My amount changed after someone edited the bill

Adding, removing or changing portions can affect shared amounts. If confirmed selections were edited, review the updated amount and confirm again.

The payment link says details changed

The bill's payment details changed after that link was created. Ask the Owner for the latest link before paying.

Push notifications are not arriving

Check that notifications are allowed and the relevant topic is enabled. On iPhone and iPad, open MemoX from the Home Screen web app before enabling Push.

An Assistant cannot confirm a payment

Make sure the payer has already reported payment and the Assistant still has bill-management access. Receipt confirmation should not be used to skip actual payment verification.

Interface examples

See the real interface examples after the guide

The examples below recap the key moments in the same order as the real interface, making it easy to review what the guide explains.

Dishes and portions

Choose what you had and adjust only the dishes shared unequally

Select your own dishes directly. Use portion weights only when people shared the same dish in different amounts.

Confirmation and final review

See who has confirmed and who still needs to review

Before collecting payment, the Owner or Assistant can review participant confirmations alongside the total so settlement begins only when the bill is ready.

Payment

Keep payment reporting separate from receipt confirmation

The payer reports payment after paying. The collector then verifies receipt and confirms it, keeping both sides aligned on the payment status.

Bill activity

Surface new updates briefly and keep the full history available

Important changes appear briefly near the activity bell without interrupting the main task. The complete history remains available from Bill activity.

Notifications

Choose the updates you want to follow

Choose notification topics separately, such as payments, bill progress or dish changes, so alerts stay useful without becoming noisy.

Join a room

Enter a room code only when needed, without crowding the main screen

When using MemoX from the Home Screen, open Join with a room code and enter the 12-character code or paste the shared bill link. The room is checked before opening.

Bill summary

Choose an image for quick sharing or a document for detailed records

PNG is useful for quick sharing in chat, while PDF is better when you want a more complete record of participants, dishes and payment progress.
